Employers, Don’t Get Caught Out ⏰
A quick but important heads-up for every employer ⏰
The Employer Interim Reconciliation submission period is open now, it opened on 21 September 2026 and closes on 31 October 2026. That’s the same day as the individual filing deadline, so it’s a busy stretch for SARS and no time to be caught scrambling. Here’s what you need to know, fast.
🧾 What is the interim reconciliation?
The EMP501 is the twice-yearly check where employers prove that the monthly PAYE amounts declared (via EMP201 returns) match the tax certificates (IRP5/IT3(a)) issued to employees. The interim round covers the first half of the current 2027 tax year, a mid-year “health check” on your payroll 📊
Get it reconciled and submitted by 31 October, and you’re compliant. Miss it, and penalties and hassle follow.
🚨 The trap that’s catching employers this year
Here’s the big one: SARS now strictly validates employee tax reference numbers. Submissions containing missing, invalid or “dummy” numbers are rejected outright, the old leniency of a warning-and-fix-later is gone.
So the single most important thing you can do before submitting is check that every employee on your payroll has a valid income tax reference number. We covered this in detail in our post on the new SARS employee tax number rule, it’s worth a read if you employ staff 🚩
✅ Your quick pre-deadline checklist
Before 31 October:
✅ Confirm every employee has a valid tax reference number (register any who don’t)
📊 Check your EMP201 declarations reconcile to your IRP5/IT3(a) certificates
🚨 Fix any mismatches before submitting, not after
🎯 Submit via eFiling or e@syFile with time to spare
🔴 Don’t leave it to 31 October, last-minute submissions risk errors and system queues 😅
❓ What happens if I miss the deadline or get rejected?
Late or rejected reconciliations can trigger administrative penalties, and they hold up your employees’ ability to finalise their own tax (since their IRP5 data isn’t flowing through correctly). Repeated issues can also dent your broader tax compliance status, which matters for tenders and contracts. In short: a missed EMP501 is a small task that becomes a big problem 🔴
🎯 Get it done, get it right
The EMP501 interim reconciliation isn’t complicated, but with the new strict validation on employee tax numbers, it’s unforgiving of sloppy payroll records. A little care now avoids penalties and a scramble later.
Go2 Accounting handles payroll and EMP501 reconciliations for businesses in Pretoria (and clients across South Africa). We ensure that every employee number is valid, every submission reconciled, and nothing is rejected. Get in touch before 31 October and take it off your plate.
Because a payroll deadline is a bad time to discover a missing number 😉
