EMP501 Reconciliations

EMP501 reconciliation: No more Invalid Employee Tax Numbers

The New SARS PAYE Rule: Why Invalid Employee Tax Numbers Will Get Your Reconciliation Rejected 🚫

If you run payroll, there’s a SARS change this year that can stop your reconciliation dead, and a lot of employers are about to find out the hard way 🚫

The safety net is gone. SARS now strictly validates employee tax reference numbers, and reconciliations submitted with missing or “dummy” numbers are rejected outright, no warning, no grace period to fix it later. And the timing matters: the interim reconciliation window is open right now (1 September to 31 October 2026), so this is a live problem, not a future one.

Here’s what changed and how to stay clear of it.

⚠️ This is general information for employers, not personal tax advice. Confirm current EMP501 requirements on SARS eFiling.

🧾 Quick refresher: what is the EMP501?

Twice a year, SARS asks employers to prove that the monthly PAYE amounts they declared (via EMP201 returns) actually match the tax certificates (IRP5/IT3(a)) issued to employees.

The EMP501 reconciliation is that check-up, lining up what you declared, what you paid, and what your employees’ certificates show. (SARS explains the process on its Employer Annual Declaration pages.)

There are two rounds each year:

📅 Annual reconciliation: roughly April–May (covering the full tax year)

📅 Interim reconciliation: roughly September–October (the half-year check), open now

🚨 What actually changed

Previously, if an employee on your payroll was missing a valid income tax reference number, SARS would flag it as a warning and let you carry on and fix it later. That leniency has ended.

Now: every employee on your reconciliation must have a valid tax reference number. Submit one with a missing, invalid or placeholder (“dummy”) number, and SARS rejects the entire submission, and rejection can come paired with administrative penalties 😬

For businesses with staff who’ve never registered for tax, or where payroll records are incomplete, this can turn reconciliation season into a scramble.

❓ How do I know if my employees have valid tax numbers?

Every employee should have their own income tax reference number, and it’s your job as employer to have it on file and on their payslip/IRP5. If you’re not sure, now, before you submit, is the time to check your payroll records against valid SARS numbers. The good news: SARS offers ways for employers to register employees for income tax in bulk. So unregistered staff can be sorted out, but it takes time, which is exactly why last-minute submissions are risky ⏰

❓ What happens if my reconciliation is rejected?

Nothing good, and it cascades:

⚠️ Your submission simply doesn’t go through, you’re treated as non-compliant until it does

📈 Administrative penalties can apply

🔴 Your employees can’t finalise their tax (no valid IRP5 data flowing through), which creates a knock-on mess at their filing time

🚩 Repeated issues put your broader tax compliance status at risk, affecting tenders and contracts

❓ How do I make sure my reconciliation is accepted?

The essentials:

✅ Check that every employee has a valid income tax reference number, well before the deadline

🚩 Register any unregistered employees (bulk registration options exist)

✅ Make sure your EMP201 declarations and IRP5/IT3(a) certificates reconcile

⚠️ Submit within the window (interim: by 31 October 2026)

✅ Don’t leave it to the last week, fixing missing numbers takes time

This is exactly the kind of thing that’s painless when handled properly and monthly, and painful when left to a deadline scramble 📋

🎯 Don’t let a missing number derail your payroll compliance

The end of SARS’s warning system means employers no longer get a second chance on employee tax numbers. It’s a small detail with an outsized consequence, a single missing number can reject your whole reconciliation and trigger penalties.
